We fabricate high-performance, carbon-sequestering building envelopes in our Rockland, Maine factory — panels built from local natural materials that lock up atmospheric carbon for the lifetime of the building. Our work sits at the intersection of manufacturing precision, environmental action, building science, and craft. We've grown from a small shop to a team of 15+ over four years, and we're growing the systems that support that work.

Role Overview

The Project Coordinator is the primary point of contact for clients from project kickoff through closeout. This role owns the customer relationship, oversees project schedules, manages project financials, and serves as the connective tissue between client expectations and production floor reality.

The Project Coordinator also provides direct production coordination support: scheduling vendors, managing sign-off documentation, tracking billable expenses, and making sure nothing slips through the cracks operationally. It's a role for someone who is equally comfortable on a client call and in the weeds of a production schedule. This person is adept at tracking success metrics, capturing insights, and disseminating learnings across the team for continuous improvement.

This position currently operates at a variable 10–20 hours per week, with a growth path to full-time. We're looking for someone with existing schedule flexibility who is interested in growing with us over time.

Key Responsibilities

Client & Project Management

  • Serve as the primary point of contact for assigned clients from kickoff through closeout — managing communication cadence, progress updates, and issue escalation
  • Own project documentation: kickoff setup, project primer, master schedule, meeting minutes, shared Drive folder, and certification tracking
  • Manage all project financials: billing schedule, invoicing, change orders, and billable expense tracking in coordination with the PM and Project Leads
  • Issue regular progress updates throughout design and production, including photos at 25%, 50%, and 75% production milestones
  • Collect and file client feedback at project close to inform future work
  • Book team travel and accommodations for work outside the daily travel radius

Production Coordination Support

  • Coordinate Feasibility Site Visits: schedule vendors, send invites, and confirm all parties at least two days in advance
  • Support PM in building and filing the Feasibility Report; collect all required signatures
  • Complete and file project wrap-up reports in collaboration with PM
  • Confirm visual load plan is created and distributed to crane and transportation vendors
  • Audit hours in Harvest; flag and correct discrepancies with PM and team
  • Track down missing receipts, invoices, and vendor credit applications

What We're Looking For

  • Background in program management, client relations, construction administration, or a comparable client-facing coordination role
  • Strong, kind communicator — able to hold relationships with clients while being honest about production realities and constraints
  • Comfortable working in a growing company where systems are still being built; you contribute to the structure, not just follow it
  • Financially literate — comfortable managing budgets, invoices, change orders, and billing schedules
  • Comfortable with metrics tracking and reporting — able to monitor project progress, financial performance, and operational data, and translate that information into clear, useful updates for clients and internal stakeholders
  • Highly organized and proactive; you catch problems before others notice them, find work without being asked, and close loops reliably
  • Highly tech-literate — comfortable with Google Workspace, Slack, and data management, and quick to pick up new tools
  • Currently has schedule flexibility — ideally freelance or otherwise able to scale hours up over time

Nice to Haves

  • Familiarity with construction, manufacturing, or custom fabrication environments
  • Experience with project management and/or construction management platforms
  • Comfortable working across both client-facing and internal operational contexts

Compensation

$30-45/hr starting pay, depending on experience. This is a part-time, variable, flexible-hours role to start (10–20 hrs/week), with a growth path to full-time.

Benefits

Available to all employees (including part-time): Paid Holidays (New Year's Day, MLK Jr. Day, Memorial Day, Independence Day, Labor Day, Veterans Day, Thanksgiving, Christmas Eve, Christmas Day; part-time holiday pay is prorated). Maine Earned Paid Leave — up to 40 hours annually, accrued based on hours worked. Bereavement, Family Medical, and other protected leaves as applicable. Workers' Compensation coverage.

Available to full-time employees (after 180 working days):_ PTO: 3–5 weeks annually based on years of service, including paid sick time. Parental Leave: 4 weeks fully paid after 12 months of service (birth, adoption, or surrogacy), plus any additional unpaid FMLA leave. Health & Wellness Stipend: monthly funds for health, fitness, and preventive care (after 6 months). Childcare Stipend: $100/week for employees with dependent children, plus $50/week if both parents work at Croft. 401(k) Retirement Plan.
